🔒 Privacy Policy

This policy explains what information TX College Planner ("we," "us") collects, why, and the choices you have. TX College Planner is an invite-only tool for tracking the Texas college application process, operated by James Robinson, based in Texas, USA.

1. Information we collect

• Account information you provide — the name and email address of the student who owns a planner, and of any editors or viewers they invite (such as a parent or counselor). Passwords are stored only as secure one-way hashes; we never see them.
• The planning data you enter — the college-application information you add to your planner: schools, essays, recommendation letters, activities, campus visits, scholarships, award letters, tasks, courses, notes, and academic profile details (e.g. GPA, class rank, and test scores you choose to record).
• Usage analytics — we use Matomo, a privacy-focused analytics tool that we host ourselves. It records things like pages visited, features used, approximate location (from a partially-masked, anonymized IP address), browser type, and the referring site.

Our analytics are anonymous and aggregate. We do not send your name, email address, or any account identifier to Matomo, and we do not enable Matomo's "User ID" feature. Analytics tell us how the app is used in general — they cannot be tied back to you or any individual student.

2. How we use it

• To operate, maintain, and improve the app.
• To understand which features are used and to diagnose bugs and performance issues (using the anonymous analytics described above).
• To communicate with you about your account — for example, password-reset and invite emails.

3. What we do not do

• We do not sell your personal information.
• We do not share your data with third-party advertisers. Our analytics are self-hosted at analytics.1978dev.net — they are not sent to Google or any outside analytics provider.
• We anonymize IP addresses, and we do not track you across other websites.
• No student names or email addresses are ever placed into our analytics.

4. Cookies

• Strictly-necessary cookie: a single login/session cookie keeps you signed in while you use the app. It's essential and is always active when you're logged in.
• Analytics cookies: these are only set after you choose "Accept" on the cookie banner. Until you accept — and if you choose "Decline analytics" — Matomo runs in a cookieless mode and sets no analytics cookies. You can also clear or block cookies in your browser settings at any time.

5. Your choices and rights

You can request a copy of, or deletion of, the personal information associated with your account by emailing us at robinsonjamesp78@gmail.com. Because each planner is kept separate, a deletion request is scoped to your own planner and its data. Depending on where you live (for example, California under the CCPA, or the EU/UK under the GDPR), you may have additional rights to access, correct, delete, or opt out — contact us and we'll help.

6. Data retention

We keep raw analytics logs for up to 14 months. We keep your account and planning data for as long as your account is active, or until you ask us to delete it.

7. Children

This service is used by a 17-year-old student and may be used by other high-school students who are invited to it. We minimize the data we collect, keep analytics anonymous, and do not use the information for advertising. The service is not directed to children under 13, and we do not knowingly collect personal information from anyone under 13. If you believe a child under 13 has provided us information, contact us and we will delete it. (Should the service ever be opened to under-13 users, we will revisit our obligations under COPPA.)

8. Changes to this policy

If we make material changes, we'll update the "Last updated" date at the top of this page.
